EDI standards ensure EDI documents use the same file format, thereby eliminating the high costs associated with developing and maintaining proprietary formats.

What's EDI?

EDI is the electronic transmission of business documents from one company's computer application to another company's computer application using standardized formats prescribed by national or international standards.

EDI Basics

EDI has three major components:

  • Trading partners

  • Translation software

  • Communications

The following definitions and illustrations provide an EDI overview:

Trading Partners

Organizations that agree to exchange business documents via EDI.

Translation Software

Dual-purpose software that converts files to or from EDI format. In the case of outbound documents, an internal application file format is converted into an EDI format. For inbound documents, the EDI format is converted into an internal application file format. It is neither necessary for trading partners to use the same translation software, nor is it necessary for them to have similar hardware platforms. Software and hardware independence is one of the major advantages of EDI.

Communications

The transmission and reception of electronic data between trading partners using compatible hardware and software, or a value-added network (VAN). A VAN is a third-party service provider that receives, stores, and forwards data to trading partners. VAN EDI traffic is actually transmitted over the telephone network using either a dial-up or leased line. Most trading partners prefer to use a VAN because they:

  • Provide a security buffer between trading partners

  • Eliminate the need for compatible communications hardware and software

The main disadvantage of using a VAN is cost. It is considerably more cost-effective to transmit EDI data directly to a trading partner.

EDI Glossary

Applications Computer programs or systems that create or process business documents.

Detail area The section of a transaction set that contains line item detail (e.g., quantity, price, etc).

Document One complete business document (e.g., invoice, purchase order, etc.).

EDI standards A published set of formats produced and controlled by either a national or international organization. Standards ensure EDI documents use the same file format.

Functional acknowledgement A transaction set, which an EDI receiver returns to the sender to indicate that a transmission has been received and that the content of the transmission has been validated against the EDI standards. Functional acknowledgements have a built-in mechanism to ensure the recipient successfully received everything the sender intended.

Header area The beginning segments of a transaction set which contain information that applies to all the information in the transaction set (e.g., invoice number, general sender, or receiver data).

Segment A group of logically related data elements in a defined sequence. Segments have a predetermined segment identifier that comprises the first characters of the segment.

Summary area The last section in a transaction set that contains summary information.

Trading partners Business organizations that agree to exchange business documents via EDI.

Transaction set A group of segments, in a predefined sequence, that provides all the data required to define a complete business transaction. Transaction sets are identified by a three-digit number (e.g., 810 for invoices and 850 for purchase orders).

Transmission The means by which data is transferred between trading partners, either over a public telecommunications network or via the internet.

Translation The process of converting business documents from an application format to a standard EDI format for outbound documents and from a standard EDI format to an application format for inbound documents.

Translation software Dual-purpose software that converts files to or from an EDI format. In the case of outbound documents, an internal application file format is converted into an EDI format. For inbound documents, the EDI format is converted into an internal application file format.

Value-added network (VAN) A third-party service provider that receives stores and transmits data between trading partners, VANs eliminate the need for compatible communications hardware and protocols.

International standards

The international standard is EDI For Administration Commerce and Transport (EDIFACT), which is used mainly in Europe. EDIFACT is the responsibility of two organizations:

  • The International Standards Organization

  • United Nations Economic Commission for Europe

The EDIFACT standard is actually a combination of the ANSI X12 standards and the Trade Data Interchange standards, which were developed in the United Kingdom.

National standards

The national standards, which are used in North America, are controlled by the American National Standards Institute (ANSI). ANSI is the recognized coordinator and clearinghouse for information on U.S. and, in some cases, Canadian national standards. ANSI also serves as the North American representative to the International Standards Organization. A group within ANSI, known as the Accredited Standards Committee (ASC), has a subcommittee simply referred to as the X12 subcommittee. The X12 subcommittee is responsible for EDI standards. Their purpose is to:

  • Define business documents

  • Specify their data content

  • Sequence and format

Element uses the ANSI ASC X12 standards for all of our EDI documents.

EDI standards are published by the Data Interchange Standards Association (DISA), a non-profit corporation that serves as the secretariat for ASC X12. Educational publications and actual EDI standards manuals are available from DISA.

Why use EDI?

Electronic commerce applications such as EDI eliminate labor-intensive paper transactions, such as document transcription, processing, and mailing. With EDI, you'll see significant increases in efficiency and productivity, and significant decreases in the amount of paper your organization generates and receives.

Look to EDI to:

  • Eliminate paper and manual processing

  • Eliminate mailing costs and delays

  • Ensure standardization

  • Simplify application development and maintenance

  • Ensure data integrity

  • Increase transaction speed

  • Simplify data exchange by allowing trading partners to use different hardware, software, and communications

  • Provide the ability to integrate with other applications (e.g., accounts payable, accounts receivable, etc.)

How do I set up EDI?

If you are interested in receiving an EDI invoice from Element Fleet Management, you should:

  • Determine which of the five formats best meets your data requirements

  • Submit the EDI Client Questionnaire

Invoice specifications

Outbound invoices are available in five different ANSI X12 formats. These formats differ by the level of detail they contain. The header and summary area specifications are common to all five formats. The following table lists the formats from the simplest to the most detailed and provides a brief description of each:

Our EDI invoice process is capable of limiting the number of line items contained on an invoice. This feature allows you to specify the maximum number of line items allowed by your accounts payable system. If that limit is exceeded, we will generate additional invoice numbers using the original invoice number followed by an alphabetic suffix.

EDI Communications

Element can send and receive EDI transmissions directly or through our third-party value added network (VAN). We prefer to use a direct FTP connection because of the mutually beneficial cost savings.

FTP Security Options

  • Data encrypted via PGP

  • VPN / IPSec Tunnel

  • FTP client using SSL or SSH2

VAN Options

  • Sterling Information Broker

If you do not currently use Sterling Information Broker, they will provide an interconnect to your VAN.

VAN Transmission Costs

We adhere to the standard industry practice in which the partner initiating the interchange is responsible for the transmission charges, and the partner receiving the interchange is responsible for the receiving charges.

Element Fleet Management uses the normally accepted conventions in the ISA and GS segments:

Electronic payments

Through EDI, Element Fleet Management increases the quality of the service we provide while significantly reducing your invoice processing costs. So that we may share in the benefits from EDI, we ask that you pay us electronically either via electronic funds transfer (EFT) or FEDI (financial EDI). To initiate electronic payments, contact Sarah Ziegler at 952-828-1052.

Functional Acknowledgements

Element Fleet Management sends functional acknowledgements (997 transaction set) for all inbound transactions. We also expect a functional acknowledgement within 24 hours on all outbound transactions to ensure our transmission was received successfully.

Legal Agreement

Element Fleet Management requires our trading partners to sign our EDI Trading Partner Agreement prior to exchanging production business documents. The legal agreement only pertains to production documents; therefore, we can start the implementation process and testing while your legal representatives review this agreement.

Transmission Schedule

Regular Monthly Invoices transmit after 8:00 p.m. Eastern Time, on the Monday Transmission Dates shown below. This allows receipt several days before the actual Billing Invoice Date.

Delayed Monthly Invoices transmit after 12 a.m. Eastern Time, either on the actual Billing Invoice Date of the 1st of the month or the 7th if a further week delay was requested at EDI set up. Delayed Monthly Invoices are required for Accounts Payable systems that cannot accept future invoice dates.

Immediate Monthly Invoices transmit as soon as they are produced, during the weekend before the Monday Transmission Dates below.

Monthly Invoices for PHH Canada clients will transmit as soon as they are produced, the Friday before the Monday Transmission Dates below, unless delayed to the Billing Invoice Date.
